Intelligent Document Routing

eCopy enables Intelligent Document Routing of key paper-based information. Once in electronic form, organizations can route and control paper-based information with existing business processes.

Intelligent Document Routing is the enabler to:

Turn paper into data
For example, an invoice is a typical paper-based document with key data including an invoice number and barcode. This information initiates key business processes and will ultimately determine where the information will be stored in an Enterprise Content Management (ECM) system.

Control the data as it enters your network
By requiring user authentication to the ECM system at the point of scanning, information that was previously on paper can be better controlled. An audit trail starts at the point of scanning, which is the only way that compliance criteria can be met.

Organizations can apply security to ensure the information is protected and controlled throughout its lifecycle, in accordance with Information Management Processes.

Allow workflow software to understand the "structure" of the scanned document.
Image Analysis Solutions understand content from the layout of documents. For example:

           - HR Forms
           - Invoices

eCopy integrates with business applications to ensure that paper-based information is routed in accordance with specific business processes - directly from the input device.

Classify a document automatically
The context of a document will determine the next step in the business workflow; eCopy's partners' products enable the automation of this process.

Examples:
A thank you letter from a customer may be routed directly to the CRM application, which would trigger a response from the organization. Or a complaint letter from a customer may be routed directly to the complaints system to be handled by Customer Services.

Key benefits of Intelligent Document Routing:

  • By classifying at the point of entry, organizations can minimize failures to follow the business process
  • Audit trails of paper-based information allow organizations to meet compliance requirements.
  • Sensitive paper-based documents can be protected and controlled directly from the scanning device
  • Information owners can decide from the point of scanning who gets to view, edit or print documents - and who does not
